Support with prospecting

The support with prospecting enables Wallonia Export & Investment Agency (AWEX) to provide financial support for the international prospecting campaigns of Walloon companies, based on a single annual budget.It supports the development of a new foreign market or the international launch of a product or service, by covering part of the costs associated with export initiatives over a twelve-month period.

Advantages

Thanks to prospecting support, Wallonia Export & Investment Agency (AWEX) contributes partially to all costs incurred by the company in carrying out the following export initiatives and activities:

  • foreign market research studies purchased
  • visits to and individual participation in physical, virtual and hybrid trade fairs and exhibitions organised abroad
  • participation in seminars, conferences and other physical, virtual and hybrid events organised abroad
  • market development trips abroad (outside the EU) for all companies and market development trips abroad (outside Belgium) for start-ups
  • invitations to prospective customers
  • designs for labelling, marking and bringing products into compliance with standards
  • trademark registration

Maximum amount

The maximum grant amount is determined based on the number of times the company participates, during the 12 months from the date the grant application is submitted, in physical or hybrid trade fairs or exhibitions of a professional and international nature organised abroad.

This amount is:
• Participation in at least 3 trade fairs: €15,000
• Participation in 2 trade fairs: €10,000
• Participation in 1 trade fair: €8,000
• No participation in a trade fair but other eligible initiatives realised: €6,000

Contribution

50% of eligible costs are covered.
If the company is a start-up, the contribution rises to 60%.

Advance

An advance payment equivalent to 50% of the grant is paid to the company as soon as the grant is awarded.

Balance

The company must submit a request for payment of the balance no later than 15 months after the date of notification of the grant (see below).

How can you submit an application?

The company submits its grant application by completing the online form available via its client zone, with the following in attachment:

  1. a description of the company’s international project and its implementation plan for the next 12 months (objectives, target countries and action plan)
  2. a list of events organised abroad in which the company plans to participate as an exhibitor within 12 months
  3. the statement of claim for payment of the advance
  4. the sworn declaration – ”De Minimis”

Practical information

The grant application can only be processed if the form is complete and accompanied by the required annexes (statement of claim and De Minimis declaration).
Payment of the advance for any new grant is conditional upon a request for payment of the balance of the previous grant.
It is reiterated that every beneficiary undertakes to reimburse WALLONIA EXPORT & INVESTMENT AGENCY (AWEX) for any part of the grant received that exceeds the amount justified by the accepted supporting documents.
The beneficiary company is required to inform WALLONIA EXPORT & INVESTMENT AGENCY (AWEX) and seek its prior approval for any changes to the initiative.
This is a ‘De Minimis’ aid measure within the meaning of Commission Regulation (EU) No 2023/2831 of 13 December 2023.

How to submit the request for the balance?

For applications for incentives that have been approved for a grant, the procedure is simplified, in accordance with the principle of trust.
The application for payment of the balance of the grant awarded must be submitted by the company no later than 15 months after the date of notification of the grant, by sending the following duly completed documents to Wallonia Export & Investment Agency (AWEX):

  1. the business report (available in the company’s member area when requesting the balance), which includes:
    • the results of the initiatives carried out, quantifying the impact of the grant on export turnover and the number of FTEs;
    • a list of trade fairs, exhibitions, seminars, conferences and other events in which the company has participated, stating the name and date of the event;
    • proof that the company did indeed participate in the events under its own name, trading name or brand (entry in the trade fair directory or photo of the stand).
  2. A statement of claim for payment of the balance of the grant.

All subsidies are paid on the basis of trust. However, to ensure compliance with subsidy conditions and proper use of public aid, Wallonia Export & Investment Agency (AWEX) carries out spot checks on a random basis.
